Quotes, orders and billing

From the proposal to the payment, with professional documents at every step.

Quotes

On an opportunity with products, click Create Quote: the lines are copied into a quote, which keeps them even if the deal changes later. Edit its name, expiry date and the note printed on it, then Preview PDF (in a pop-in) or Download. Move it through Draft → Sent → Accepted / Rejected.

Orders

An accepted quote becomes an order in one click. While the order is a Draft you can change quantities and discounts (0 removes a line); add the customer's PO number, billing and shipping addresses and notes. Print it as an order confirmation.

Invoices

Click Create Invoice on an order:

  • the invoice is numbered per year (INV-2026-00001);
  • the customer's billing identity is frozen on it, so later edits of the account do not change a sent invoice;
  • tax uses the company's default rate and the due date its payment terms.

Edit a draft invoice, then Mark as sent and Record payment. The invoices list shows what is outstanding, overdue and collected.

The PDF carries your company details, the customer's, the references, the lines by group, the totals with tax and a payment box: bank, IBAN, BIC, reference and a QR code. When your currency is the euro, it is a SEPA GiroCode that pre-fills the transfer in the customer's banking app.

Factur-X (e-invoicing)

Invoice and credit note PDFs are Factur-X files: PDF/A-3b with the EN 16931 CII XML embedded, ready for the French e-invoicing reform and readable by any accounting software. They carry your SIREN/SIRET and VAT number (Setup → Company), the customer's (the account's SIREN / SIRET and VAT / Tax ID), the lines, the VAT breakdown, the due date and your IBAN. A credit note is type 381 and names the invoice it corrects.

E-invoicing platforms

From September 2026 French invoices travel through an approved platform (PA, formerly PDP). In Setup → E-invoicing, an admin connects one or more platforms, each in sandbox or production:

PlatformWhat SoliCRM sendsCredentials
Pennylanethe Factur-X file, imported as a customer invoice; optionally transmitted by Pennylane (send_to_pa)Company API token, scope customer_invoices:all
Qontothe invoice's figures (Qonto creates the customer once, then the invoice)organization login + secret key (+ staging token in sandbox)
Iopolethe Factur-X fileAPI client ID + secret, customer ID
Jefacture (Banqup API)the Factur-X file, uploaded to your spaceAPI address, space ID, token or OAuth client
Chorus Pro (public sector)the Factur-X file, through the State's PISTE gatewayPISTE client ID + secret, Chorus Pro technical account
Other platformthe Factur-X file as the multipart field file (Paragon, Sage, Cegid…)upload address, token and its header

On an issued invoice or credit note, the E-invoicing panel has a Transmit button (the default platform is preselected). Every transmission is listed with the platform's status — sent, processing, delivered, accepted, rejected, paid — and refreshed every 30 minutes, or at once with Refresh. Credentials are encrypted at rest. Start in sandbox: each platform validates the file and your company identifiers before going live.

Sending quotes and invoices to customers

On a quote, Send to the customer emails a link where the customer reads the quote, downloads it and accepts it online by typing their name: SoliCRM keeps the evidence (name, date, IP address, SHA-256 of the exact PDF), marks the quote Accepted and tells its owner. With Yousign connected, Send for signature gets an advanced electronic signature instead. On an issued invoice, the same block sends its link: the customer downloads the Factur-X PDF and, with Stripe connected, pays it online by card or SEPA debit — the invoice is then marked paid automatically.

Credit notes

To cancel all or part of an invoice, open it and click Create credit note: choose the quantity to credit on each line and give a reason. Credit notes are numbered CN-2026-00001, go Draft → Issued → Refunded, and the invoice then shows the amount credited and the balance still due.

Contracts

Contracts record the agreement with an account: start date, term, value and terms written in Markdown (headings, bold, lists). The end date is computed, and a renewal opportunity opens automatically 60 days before it. Contracts print with signature blocks.

Products and price books

The product catalog holds codes, families and list prices. Price books give other prices to some deals (partners, public sector…): choose the price book on the opportunity and its prices apply to new lines.

The look of your documents

In Setup → Company → Documents, upload your logo (PNG or JPEG, up to 400 KB), pick an accent colour, and choose a style for each kind of document — Classic, Modern (a coloured header band) or Minimal (black and white). Invoices can be Modern while contracts stay Classic. Preview opens an example with your details in that style. The logo also appears on the pages your customers open to sign a quote or pay an invoice.
